Play Podcast    Resolving Slow Network Issues with a Large PST
As the size of PST store increases, performance issues like, slow e-mail delivery, synchronization delays etc. become more noticeable. If PST is stored on a network share, it can cause the whole network connection to slow down. However, storing PST is not recommended on any network drive, but if you have still stored a large PST on network, it is advised to relocate it to a local computer and Split PST File to prevent further issues.

Consider an Outlook user who stores PST file for network share. The user doesn't realize that the file has grown to a considerable size and is in need of maintenance. But one day, he starts observing several performance issues when accessing the network connection. Other users connected to the network too face similar problems, while accessing the network.

This is a typical example of issues that can root from a large sized PST file. An Outlook user should keep in mind that PST is not meant for network sharing. Accessing PST in this way not only brings performance issues, but can also cause the file to get corrupted.

Solution

To deal with such problems:

(1) User needs to move the file from network share and store it on a local computer.

(2) After moving the file, its size must be taken care of. This can be done by:

(2.1) Deleting the unnecessary e-mails and other PST objects and then compacting the file. The file size will remain almost the same if you do not compact the PST.

(2.2) Creating a new PST to move messages from the original PST. The process is known as PST archiving.

(2.3) Using a Split PST software divides PST contents in different PST files with small sizes.

Third-party utilities are risk-free solutions to Split Large PST File. These tools are designed for easy PST file maintenance and do not harm the integrity of file and its data. Moreover, you can use these software for any size of PST.

Stellar Phoenix PST File Splitter is a safe product that splits an Outlook PST created with MS Outlook 2007, 2003, 2002, and 2000. This Split PST File software can divide the file on the basis of e-mail ID and message date. The tool is compatible with Windows 7, Vista, XP, 2003, and 2000.

Play Podcast    About PST Formats, Use, and File Size Limit
All versions of Microsoft Outlook use PST (Personal Folder) file to hold e-mails, contacts, calendar entries, and other data. Though all these versions seem to use same kind of PSTs, but as the fact Outlook uses two different formats in PST: ANSI (American National Standards Institute) and Unicode (the standard format that is able to present almost all type of characters). These two type of PSTs are distinct with respect to their file size limitation, but the issues that can occur due to large file size and compel you to Split PST File are almost similar.

Here is the typical use, file size limitation, and flexibility in file size of both type of PSTs. The article further mentions some problems that can occur due to large size of Outlook PST and ways to resolve them.

ANSI PST

Use: Microsoft Outlook 97-2002, IMAP4 (Internet Message Access Protocol Version 4rev1) and HTTP (Hypertext Transfer Protocol) accounts of Outlook 2003, explicit use in Outlook 2007

File size limitation: 2 GB

Flexibility in file size: Hard-core limit, cannot be configured

Unicode PST

Use: Outlook 2003 except in IMAP4 and HTTP accounts, Outlook 2007

File size limitation: Default value- 20 GB,

Flexibility in file size: can be configured using registry editing

Large PST size issues

A PST with considerable size is never recommended. Such files are prone to several issues such as mentioned below:

(1) File corruption vulnerability (especially an ANSI PST).

(2) Performance issues.

(3) Data management problems.

(4) Require significant time while typical operations like importing or restoring.

Since you keep on receiving data in Outlook, the PST file grows to its maximum or defined file size value. Thus you should always keep a check on the file size to ensure proper action.

Ways to reduce PST size

The following measures can prove beneficial to reduce the overall size of PST:

(1) Delete the unnecessary e-mails timely.

(2) Compact the PST.

(3) Archive old e-mails (recommended- use Auto-archive feature).

(4) Split PST.

You can Split PST File using third-party applications that are designed exclusively to divide a large PST file in several smaller files in a single attempt.

Stellar Phoenix PST File Splitter is a professional utility that splits large sized PST file on the basis of e-mail ID and date. The Split PST utility supports MS Outlook 2007, 2003, 2002, and 2000. The tool has an interactive display that makes the utility easily operable.

Play Podcast    How to Manage Outlook Data Files Size?
Microsoft Outlook is one of the dynamically used e-mail clients and usually processes various incoming and outgoing e-mails. Since its data file (.pst) is bounded to a specific file size, 2 GB in Outlook 2002 and earlier versions, user needs to give special care to maintain the file size. Even when one deletes the file items, it may find no considerable changes in the file size of Outlook data file. The reason is that PST is a database and once the space is allocated, it cannot be freed up until you compact the file. However, there can be several ways, using which one can manage the Outlook mailbox size, one of them being is Split PST File utility.

Empty the Deleted Items Folder

The 'Deleted Items' folder usually consists of e-mails that one has already discarded. So, you can empty this folder and compact the file later. You can also delete the undesired e-mails.

Compact the PST

Outlook compacts the PST in background, however to force the compaction, you can proceed as follows:

(1) Click 'File' and then, 'Data File Management'.

(2) Select the target data file and click 'Settings'.

(3) Click 'Compact Now'.

Archive the PST

You can archive the older e-mail items to a different Outlook PST as mentioned below:

(1) Select 'File' and then, 'Data File Management'.

(2) Click 'Add'.

(3) Click 'Office Outlook Personal Folders File (.pst)' to create a new personal folder.

(4) Click 'OK' and specify a file name.

(5) Move the desired old e-mails to this new PST.

You can create several such PSTs .

Split PST

There are various PST File Splitter available that can split any size of Outlook PST and help you to keep PST manageable with respect to its size. These software allow to perform PST Split using powerful, yet safe, algorithms. Also, these applications are easy to install and use with their self-explanatory interface.

Stellar Phoenix PST File Splitter is a professional and trusted utility that splits Outlook data file on the basis of e-mail ID and date. The Split PST File software supports MS Outlook 2007, 2003, 2002, and 2000. The software can Split PST into several smaller PST files, each of which is directly importable within Outlook.

Play Podcast    Unicode vs ANSI PST and File Size Issues
A Unicode PST (Outlook 2003 and 2007 default PST) supports features like large file size and support for various character set. The Support for different character set gives flexibility over language control, while the latter one is somewhat more important. The increased file size limitation in Unicode PST is for users who cannot keep a regular track of errors and issues occurring due to 2 GB file size limitation that is imposed by an ANSI (American National Standards Institute) PST. Also, an ANSI PST that goes over 2 GB in size is vulnerable to corruption risks and various issues that ask to Split PST File. That's the reason why most of the Outlook users prefer migrating to this new format of Outlook 2003 and 2007.

Outlook 2003 PST

The accounts of IMAP (Internet Message Access Protocol) and like Hotmail or MSN in Outlook 2003 still require an ANSI formatted PST, however the default is always a Unicode. So, issues related to PST file size depend on the account in use.

Note: You cannot convert an ANSI PST directly to Unicode or vice-versa. To do this, you need to copy, move or export the data to the new data file.

PST File Size Issues

The size related problems of ANSI formatted PST have already been depicted. A Unicode PST also faces such issues, though not similar. No doubt, a Unicode PST is the best solution in an enterprise environment as it resolves many issues that otherwise can force to spread the data across multiple PSTs. But simultaneously, it raises other problems like:

(1) User experiences poor performance when accessing a large PST . A PST till 2 GB provides good user experience, while the one between 2 GB and 4 GB is strictly dependent on hardware. A PST above 4 GB shows short pauses and the frequency of these pauses increases when the file goes above 10 GB.

(2) Considerable requirement of time when restoring from a backup of such PST.

(3) Management issues.

Solution

Storing the PST data in different PSTs, rather focusing on a single is a good practice to avoid the issues. So, you should keep on deleting the undesired messages from a PST and compacting it later. Also, you can opt solutions like PST archiving or using a commercial tool to Split PST. There are various tools available that can Split PST File and keep its size under control.

Stellar Phoenix PST File Splitter is an advanced utility that can split a large PST into smaller, Outlook-usable PST files. The tool can Split PST for MS Outlook 2007, 2003, 2002, and 2000. The software provides two criteria to split the PST file: by e-mail ID and by date.

Play Podcast    How to Manage PST size of Outlook 2003?
The file size limitation of PST in Outlook 2003 depends on the e-mail account in use. However, by default, Outlook 2003 PSTs are Unicode formatted, but when using an IMAP4 (Internet Message Access Protocol Version 4rev1) or HTTP (Hypertext Transfer Protocol) account, PST files do not use this format. Thus the 2 GB size limitation, which exists in Outlook earlier versions because of ANSI (American National Standards Institute) format, is still the same in these accounts of Outlook 2003. Also, even if the Outlook 2003 uses a Unicode PST, the file size issues create considerable problems when running the application. There are several steps to manage the Outlook 2003 PST size, one of them being Split PST File utility.

Outlook 2003 PST file size can increase considerably because of regularly incoming and outgoing messages. If you use Outlook 2003, you might experience any of the below issues due to large PST size:

(1) E-mails take time to download or send.

(2) Outlook hangs when performing usual tasks.

(3) Message copy operation from one folder to another is slow.

(4) PST either fails to synchronize or behaves sluggishly.

Apart from these symptoms, the general responsiveness of the application also slows down. These situations cause PST file size management necessary. Following are some tips that you can apply to an Outlook 2003 PST file for managing its size:

(1) Delete the undesired PST items and empty the 'Deleted Items' folder if it doesn't contain any required data. Finally, compact your PST as it will not free up the occupied space without compaction.

(2) Use the Outlook archive feature to move the items to several new PST files. However, the process can be troublesome if your PST is quite large in size.

(3) Use a third-party PST File Splitter tool to split a large PST file in just few clicks.

A Split PST utility is safe to use and employs high-end scanning algorithms to divide a large PST into several smaller PST files. These software are easy to install and simple to operate. You can run these products for PST of any size and format.

Stellar Phoenix PST File Splitter is a powerful application that incorporates safe, yet efficient, scanning algorithms to split a PST file. The Split PST File software supports MS Outlook 2007, 2003, 2002, and 2000. It creates several new PSTs on the basis of e-mail ID or date (as specified by user) while keeping the original PST intact.

Play Podcast    Tips to Solve Outlook Error: 'The file file_name has reached its maximum size'
Microsoft Outlook 2002 and earlier versions have a 2 GB file size limitation for personal folders (.pst files). Once these files reach or go beyond this value, PST complain of being unusable by the user. Though this limitation no more exists in Outlook's later versions, but Outlook performance and data management issues are still needed to be taken care of. If required, it is however recommended to have multiple PSTs instead of piling messages in a single one. To serve the same purpose for an already large PST, Split PST File is the option.

To exemplify such problems with a large PST, suppose you use MS Outlook 2002. You keep on receiving emails and storing other items in a single PST (the default PST) while ignoring the fact that this practice can lead to further issues. At a particular point, when you attempt to save an Outlook item such as appointment, contact or task, you cannot do so. Additionally, you receive an error message as stated below:

“The file file_name has reached its maximum size. To reduce the amount of data in this file, select some items that you no longer need, then permanently (shift + del) delete them.”

The error shows that PST has grown to its maximum file size value and cannot accept more items. The error is received when Microsoft Office XP Service Pack 1 is installed. Installing the service pack for Outlook 2002 causes the application to stop saving more data after the PST has reached to 1.82 GB size value. This prevents against corruption that might occur to a PST above 2 GB.

Few suggestions to deal with such problems are:

(1) Open the PST and delete the items that are no longer required. Empty the 'Deleted Items' folder and compact the PST. Compacting the PST is essential to discard the unused space of the file.

(2) Create a new PST and import data from the original PST to it.

(3) Use a Split PST software helps your PST to divide in smaller, Outlook-usable parts. These Split PST File utilities are safe and interactive to use that solve all the issues related to a large PST.

Stellar Phoenix PST File Splitter is a powerful utility designed to split a large PST on the basis of e-mail IDs and date. The safe and effective tool can Split PST using appropriate procedure. The tool supports MS Outlook 2007, 2003, 2002, and 2000. The software divides the PST into parts that can be individually imported for further use in Outlook.
